Editing Individual and Company Parent Record Settings

Differentiating the frontend visibility and terminology used regarding family relationships between records.

Creating familial parent-child relationships between records is crucial for your database organization, member type and dues settings, reporting, and much more. This has always been an integral part of Novi. We realize how important it is for your association to obtain and easily track this information.

To help facilitate these relationships, we have fields that appear during signup, account creation, etc. that allow users to enter or see this information.

By default, this is called Parent Member. However, we know that doesn't always apply to all Member Type situations. For example, maybe it makes sense for a Company/Staff relationship, but not for your association's Company/Sub-Company relationships. For this reason, the title and description of these fields are editable! You can also restrict the Parent Member field to only appear for certain member types.

To customize Parent Member settings, navigate to Member Fields. As pictured below, you can adjust the settings for (1) People and (2) Companies separately. Click Edit in the far right Action column to get started.


1. Parent Member for People

Parent Member Label for People

Appears when:

  • Individuals create a new user account.

  • Individuals register for a new individual membership.

  • A company is being registered for a company membership. (The individual registering the company will be asked the company's name.)

  • Individuals register for events. (The chosen label will appear in lieu of the word Company when an event attendee is asked for their information - name, email, phone, company, etc. In the example above, Organization would appear instead of Company)

  • An individual has a parent and views their personal profile in their Member Compass.

  • A company's primary contact or a user with management access views a company's profile in their Member Compass.

Parent Member Description for People

Appears when:

  • Individuals create a new user account.

  • Individuals register for a new individual membership.

Restricting Parent Member Visibility for People

If the Parent Member field does not apply to any People-based Member Types:

  • Under Visibility settings, make sure the field is not marked as Key Information.

  • Deselect "Show on Backend" and "Show on Frontend."

If the Parent Member field is only applicable to specific Member Types:

  • Toggle Restrict to Member Type ON.

  • Select the Member Types that should have a Parent Member. (In the example above, Affiliate and Individual Members should have Parent Members.)

  • Make sure the frontend/backend visibility settings match your preferences.


2. Parent Member for Companies

Appears when:

  • A company is being registered for a company-based membership. 

  • An individual registers for a new individual membership and adds their parent company to the database.

  • A company primary contact or user with management access views a company's profile in their Member Compass AND their company has a parent.

Parent Member Description for Companies

Appears when:

  • A company is being registered for a company-based membership. 

  • An individual registers for a new individual membership and adds their parent company to the database.

  • A company primary contact or user with management access views a company's profile in their Member Compass AND their company has a parent.

Restricting Parent Member Visibility for Companies

If the Parent Member field does not apply to any Company-based Member Types:

  • Under Visibility settings, make sure the field is not marked as Key Information.

  • Deselect "Show on Backend" and "Show on Frontend."

If the Parent Member field is only applicable to specific Member Types:

  • Toggle Restrict to Member Type ON.

  • Select the Member Types that should have a Parent Member. (In the example above, only Property Members should have Parent Members.)

  • Make sure the frontend/backend visibility settings match your preferences.
