Heads Up: Constant Contact Users!

In a future release, we'll be optimizing and upgrading our native integration with Constant Contact (woot, faster syncs!), which will require you to re-connect your Constant Contact.

If your Novi site currently syncs with Constant Contact, you'll receive an email with more details later this week.

No action is required at this time, but we'll eventually ask you to reestablish your connection to Constant Contact in your Association Settings. We'll keep you posted!

Identify records based on 'Effective Member Type'

The notion of 'Effective Member Type' has always existed in Novi... We're now surfacing it for you in an effort to more transparently show the member type relationship between inheriting and dues-paying members!

For example, Patricia inherits benefits as an employee of ABC Company, and ABC Company is a Corporate Member.

In this scenario, Patricia has an Effective Member Type of Corporate Member, even though ABC Company is the dues-paying member. Patricia does not have a Designated Member Type.

Now, this concept is represented more accurately in custom reports thanks to two new conditions: Designated Member Type and Effective Member Type!

  • Designated Member Type is the member type directly assigned to a specific record (often the dues payer or would-be dues payer).

  • Effective Member Type is the member type that effectively applies to a record (typically inheriting records connected to the dues payer).


Updated language to describe a record's Member Type & Non-Dues Paying Members

In the next step towards communicating the concept of Designated and Effective Member Types, we've also renamed the Member Type drop-down as "Designated Member Type."

When viewing details on a member record, adding a new person, or adding a new company, you'll see a Designated Member Type drop-down instead!

Additionally - we've renamed Non-Dues Paying Members to None Designated. The functionality behind what a non-dues paying member is has not changed, but we've updated this label to align with the new concept of Designated vs. Effective Member Types.


Impersonate frontend users to mimic the member experience

There’s no better way to understand the user experience than to see your site through a member’s eyes! We are so excited to unveil our brand new Impersonate User feature! This feature allows you to view pages from a visitor’s perspective.

Test the event registration process, review content in the Member Compass, and much more — all from a user’s point-of-view.

Multi-select Activity types in the member record timeline filter

Need to narrow down the activities on a record's timeline? You can now filter by multiple activities, helping you declutter the timeline while still viewing several activity types at once.

Simply use the Filter button and select your preferred activities under Activity Type(s).

Whenever a record is refreshed, the filtered Activity Type(s) will be cleared and the timeline will default back to displaying all activities.


Include service dates on line items to properly recognize revenue

This one is for the bookkeepers! To help you properly recognize revenue in QuickBooks' native reports, the Service Date has been added to all line items for invoices, sales receipts, credit memos, and refund receipts.

  • Service dates will be determined as follows:

    • Dues: First day of membership term

    • Events: First day of event

    • Ecommerce: Day of purchase

    • Product add-ons will be given a service date according to the type of transaction they’re being added to (either Dues or Events).

NOTE: You’ll need to enable service dates in your QuickBooks Online account settings first. Additionally, this update only applies to transactions moving forward and will not be applied to historical transactions.


Choose an accounting process for removing optional Dues Rules

And while we have the attention of the bookkeepers...

We've heard some folks would like to create a credit memo when an optional dues rule is removed from a dues invoice, for accounting purposes.

We've added a new section to your Association Settings. Here, you can choose which of the options below works best for your association's accounting practices:

  • Deletes the line item from the invoice.

    • As the text in the screenshot mentions, this is the most appropriate choice for most organizations. This is how the functionality has existed historically.

  • Leaves the line item on the invoice and creates an offsetting credit memo to nullify the optional dues rule.

    • This is the new, more advanced accounting option.

To change this setting to the new option, go to the QuickBooks tab in Association Settings.


Sticky payment methods and dates on the 'Receive Payment' modal

Usually “sticky situation" has a negative connotation, but today it's a good thing! When receiving multiple payments, if you select Save & Add New, Novi will remember the Payment Method and Date from the first payment when the modal refreshes.


Auto-notification if your QuickBooks connection is disrupted

From time to time, QuickBooks Online will request a refresh in the connection to your website. When this happens, your site temporarily disconnects from QuickBooks.

The "Master Admin" of your QuickBooks account should quickly reestablish this connection to avoid errors in your Novi sync.

Instead of waiting for a notification of the disconnection, admins will now see a pop-up alert on the backend as soon as they log in.


Add "Has Company Logo/Headshot" to group conditions

Images are the best way to add visual interest to directories and Leadership Roles. But which members have or are missing a headshot or organization logo on their record?

Apply the new Novi Group condition "Has a Headshot or Logo" to find out and communicate with them via your MailChimp or Constant Contact connection!

Using the condition as follows can produce useful data:

  • Has a Headshot or Logo equals No = no headshot/logo on their record

  • Has a Headshot or Logo equals Yes = does have a headshot/logo on their record

Engagement tip: Does your organization offer advertising services for members? Photography and graphic design members might be interested in offering their services to those members without headshots/logos. This condition offers a variety of opportunities going forward!

Timezones on events in the Member Compass

Timezones are now visible on the Member Compass events list, ensuring members know exactly when to show up for your next webinar or remote meeting.

Extended character limit for event location

We have extended the character limit to 100 characters for the ‘Name of Location’ field. Also, the address field will start on the next line, providing a cleaner display on the frontend event info page.

Cleaner formatting for non-member event contacts

Speaking of clean formatting, we've updated the way a non-member contact listing appears on an event page. The fields display on their own row for a neat and uniform appearance.

"Select All" on Event Attendee Lists

When viewing your event attendee list, the batch select option will now prompt you to “Select All” the records on your list (not just the ones visible on the current view of results). This should speed up the process of sending confirmation emails in bulk or confirming the attendance of many registrants at once.
