Membership Information Fields on a Member's Record

Learn what each of these membership fields means and how it could affect your data

In the Membership Information section under the Details tab of a member's record, there are several fields used to track and maintain a member's status and ongoing renewals. Here's what each of them means.

Member Type

This drop-down field shows which one of your association's member types this member belongs to.

  • Note: Changing the value in this field could result in a change in membership status, dues rules, and even required custom fields.

  • The member types displayed in the drop-down depend on the type of record - company vs individual. Only the corresponding type(s) will be available.

  • Be sure to click the Save button after updating the Member Type on a record so you'll be given the appropriate options for joining, renewing, etc.

Original Join Date

This field is used for tracking when a member first joined.

  • If there has been a lapse in membership, this date will be different from the Current Membership Since date.

  • If a member does not have a unique Original Join Date, the Current Membership Since date will be applied.

Current Membership Since

The date the current membership term started.

  • This may be the same as their Original Join Date unless they had a lapse in membership and then reinstated at a later date.

Membership Expires

For current members, this is the date that the current membership term should run through. For expired members, this is the date of expiration.

Please note that this field is extremely important in your database as it determines:

  • A member's status -- Current (date is in the future) or Expired (date is in the past).

  • When the membership should renew and an invoice should be created based on the member type settings.

Dues Balance

If the member has an open dues balance, the dues amount owed will show here.

  • Keep in mind that this only includes dues, and does not include other open balances for events, products, etc.

Non-Renew & Credit

Just like on an invoice itself, you have the option to Non-Renew & Credit any open dues invoices right from this button!

Renew Membership

If the member is expired and wants to rejoin, you can select this option to manually renew their membership and charge for dues (if applicable).

Auto-Renew Membership

This field tells Novi whether or not to auto-renew that specific member record. If you leave this checked on, this member record will follow the renewal rules found in the member type settings.

If a member calls and tells you that they will not be renewing their membership for the next term, you can uncheck this option so that they do not receive a renewal invoice when the time comes. They will stop receiving member benefits the day after their expiration date.
