Switching the QuickBooks Online Account Connected to Novi

Last updated: October 12, 2026

The Novi AMS team strongly recommends that associations avoid switching to a different QuickBooks Online company file after Novi has already been connected and actively syncing transactions.

Why Novi Does Not Recommend Switching QuickBooks Accounts

Novi AMS and QuickBooks Online are connected at a very detailed level. Novi does not simply send summary journal entries into QuickBooks. Instead, Novi and QuickBooks share information about customers, items, invoices, sales receipts, payments, event transactions, dues transactions, and more.

Because of that deep connection, switching the QuickBooks Online company file connected to Novi is not a simple disconnect-and-reconnect process. It can create significant data and mapping issues.

Every customer, item, and transaction in QuickBooks has an ID behind the scenes. If an organization moves to a different QuickBooks company file, those IDs will not match the IDs Novi has already stored from the original file.

This Is Not the Same as Reconnecting QuickBooks

From time to time, QuickBooks may require an existing connection to be refreshed. That is a normal reconnect process and is covered in our Connecting to QuickBooks Online article.

Switching to an entirely different QuickBooks Online company file is different. A new company file means new underlying QuickBooks IDs, even when the visible customer names, item names, or transaction numbers look familiar.

What Happens to Your Existing Data

Even in a best-case scenario, changing the connected QuickBooks company file can break the relationships Novi relies on to understand what each record is and how it should behave.

Customer and Member Matches Can Break

A member or company may have the same name in both QuickBooks files, but QuickBooks will not treat those as the same record. Under the hood, the original customer record and the new customer record have different IDs.

That means Novi may no longer be able to rely on the previous mapping between a Novi member and the related QuickBooks customer.

Transaction History Can Lose Context

The impact is not limited to member records. Every transaction has its own QuickBooks ID. If those IDs change, Novi can lose the context that tells us whether a transaction was created as a dues invoice, event registration, ecommerce order, payment, or other activity.

For example, Novi may no longer be able to confidently connect historical transactions back to the Novi activity that created them. Event list payment statuses, transaction list details, and other connected accounting views may no longer have the same reliable relationship to QuickBooks.

QuickBooks Does Not Provide a Map Between Files

QuickBooks does not provide Novi with a complete map that says, “this record in the old QuickBooks file equals this record in the new QuickBooks file.” Without that kind of map, Novi cannot automatically rebuild all of the previous relationships safely.

Engineering Work Can Be Significant

In some cases, resolving the data differences would require custom engineering work to wipe out old mappings and allow records to remap against the new QuickBooks company file. This could be a large project and may involve thousands of dollars of engineering time, depending on the scope and complexity of the organization’s data.

What to Consider Before Making Changes

If your organization is considering a new QuickBooks Online company file, pause before making changes to the Novi connection.

We recommend asking:

  • What problem are we trying to solve by creating or switching to a new QuickBooks company file?

  • Can the issue be solved inside the existing QuickBooks company file instead?

  • Are we prepared to lose historical Novi-to-QuickBooks context for some records or transactions?

  • Have we talked with our accountant or bookkeeper about the accounting implications?

  • Have we contacted Novi support before disconnecting or reconnecting anything?

In most cases, the safest path is to keep the existing QuickBooks Online company file connected to Novi and work with your accounting team to clean up or adjust the current file.

What If You Are Trying to Solve a Specific Accounting Need?

Sometimes the idea of switching QuickBooks accounts comes up because an organization is trying to solve a different problem, such as:

  • Changing revenue accounts or item mappings

  • Cleaning up old transactions

  • Separating programs, entities, or departments

  • Improving reporting

  • Moving to a different QuickBooks subscription or plan

Before pursuing a new QuickBooks company file, review whether the goal can be handled through existing QuickBooks settings, item mapping, departments/classes, reporting, or other accounting workflows.

For example, if you need to adjust how revenue is categorized, start with our article on Mapping Accounting to QuickBooks Items (Products and Services) & Accounts.

If your QuickBooks connection has simply been disrupted and you need to reconnect the same QuickBooks company file, use Connecting to QuickBooks Online.
