In order to assign a person as the Primary Contact or Billing Contact of more than one related company, select the appropriate scenario below and follow the steps to grant them access.
Scenario One - The person's parent company is the main company in the family tree and they need to be assigned as the Primary Contact and/or Billing Contact of one or more sub-companies. You can also grant them management access instead of assigning them as Primary/Billing Contact.
Scenario Two - The person's parent company is one of the family's sub-companies but they also need to be assigned as the Primary Contact and/or Billing Contact of another related sub-company. You can also grant them management access instead of assigning them as Primary/Billing Contact.
Scenario One
Sally works directly for ABC Corporate.
ABC Corporate has multiple sub-companies in their family tree -- Sub Company A, Sub Company B, and Sub Company C.
Sally oversees and is the Primary and/or Billing Contact for the sub-companies.
Note: If Sally is not the Primary and/or Billing Contact for the sub-companies, but she needs to have management access, you can simply give her management access to the parent company (ABC Corporate in this example), and then she will automatically have access to all of the sub-company profiles.
So how can you assign her as the Primary and/or Billing Contact?
First, confirm that Sally's parent member is ABC Corporate.
Next, go to the first sub-company's record where you need to add her as the primary/billing contact or to give management access.
Click on the Family Tree tab, then the People sub-tab. (#1-2 in the image below).
Notice that Sally isn't listed since she doesn't work directly at the sub-company. To expand the list, click the Show Related Contacts link. (#3 in the image below)
Sally, plus any other associated staff, will now appear on the list.
Finally, to the right of Sally's name, click the drop-down arrow in the Action column, and select the appropriate option(s).
Repeat the above steps for any other sub-companies that Sally needs to be assigned as the primary/billing contact.
Scenario Two
John works at Sub Company A, but also oversees Sub Company B and Sub Company C.
So how can you assign him as the Primary and/or Billing Contact?
First, confirm that John's parent company is Sub Company A.
Next, go to the first sub-company's record where you need to add him as the primary/billing contact or to give management access (Sub Company B in this example).
Click on the Family Tree tab, then the People sub-tab. (#1-2 in the image below).
Notice that John isn't listed since he doesn't work directly for this sub-company. To expand the list, click the Show Related Contacts link. (#3 in the image below)
John, plus any other associated staff, will now appear on the list.
Finally, to the right of John's name, click the drop-down arrow in the Action column and select the appropriate option(s).
Repeat the above steps for any other sub-companies that John needs to be assigned as the primary/billing contact.
Items of Note
In both of these scenarios, a person will be able to update the company profile and staff* information for:
Any companies they have management access to or if they are assigned as the Primary or Billing contact.
Any sub-companies under a company they have access to.
This is automatic, so you don't need to give them access to each separate sub-company if they already have access to the parent company.
*The ability to access and edit the Staff list for a company depends on a setting in your Association Settings (see image below).
For both scenarios, remember that the icons next to staff names have different meanings for your quick reference:
Key - User has management access
Star - User is the primary contact
Dollar Sign - User is the billing contact
