Roundtable Recap: Zapier Show & Tell

Zapier is a powerful tool for automating repetitive tasks, and our customers are putting it to work in creative, time-saving ways. In this special Show & Tell roundtable, four Novi users walked us through their favorite Zaps, ranging from simple email alerts to AI-powered data processing. Whether you’re brand new to Zapier or looking to push your automation even further, this session was packed with ideas, examples, and practical tips.

This roundtable isn't a Zapier how-to, it is a showcase of what’s possible. Whether you’re managing membership, credentialing, or advocacy, small Zaps can lead to big wins. We focused on:

  • Show & Tell examples from the Novi community

  • Tips for cost control and error prevention

  • New Zapier features including AI, Agents, and Human in the Loop

  • Encouragement to start small and build from there

Each presenter shared the details of one of their favorite Zaps. The bottom of this article includes a summary of more of their favorite zaps to help inspire you with ideas!

Add Novi Events to a Team Calendar

Dena Torino, ADVIS

  • Audience: Programming teams

  • Goal: Create shared Google Calendar events when Novi events are added

  • Flow:

    • Trigger: Novi event created

    • Steps: Get event details → format time zones → create calendar event

  • Lesson: Formatter steps are key. This Zap reclaimed 3+ hours per year and reduced scheduling errors.

Add CEUs via Google Sheets

Matthew Hundley, Inform USA

  • Audience: Credentialing & education teams

  • Goal: Use a spreadsheet to bulk add CEUs to Novi member profiles

  • Flow:

    • Trigger: New spreadsheet row

    • Action: Create activity in Novi with CEU details

  • Lesson: Ideal starter Zap that cuts hours of manual work. Can also update other custom fields.

Notify Your Team About New Applicants

Kymberly Glazer, DPHA

  • Audience: Membership teams with approval workflows

  • Goal: Send dynamic email alerts for pending member applications

  • Flow:

    • Trigger: Member status changes to pending

    • Filter: Ensure a valid member type exists

    • Action: Send email to staff/shared inbox

  • Lesson: Even basic notifications save time. Email limitations can be addressed with forwarding or 365.

Track Member Funding Impacts with AI

John Clark, MANP

  • Audience: Comms & policy teams

  • Goal: Extract funding cut data from news articles and log it for follow-up

  • Flow:

    • Trigger: URL shared in team chat

    • Actions:

      • AI (ChatGPT) analyzes article

      • Extracts orgs, impact, contact info

      • Searches Novi for member match

      • Logs info in Google Sheet

  • Lesson: AI + Zapier can handle complex parsing, even without coding experience.

Misha’s Expert Zapier Tips

  1. Document Your Zaps with Notes

    1. Use Zapier Notes to document what each Zap does, why it exists, and any important details about its setup. This makes maintenance and troubleshooting much easier later.

  2. Understand Zapier’s Task Measurement

    1. Zapier doesn’t charge for its own native modules, except for Code by Zapier executions and Webhooks/API actions. Take time to learn how Zapier counts tasks - it will help you optimize costs and efficiency.

  3. Avoid Bulk Data Loads

    1. When processing large amounts of data, work in smaller batches and add delays between runs. This helps prevent race conditions or API overloads (for example, crashing the Novi API). Remember: Zapier is a process automation tool, not a bulk data migration platform.

  4. Use Zapier’s Built-In AI

    1. Zapier now includes AI that can help you build entire Zaps, generate code for code-based steps, and even improve your prompts before creating a Zap. It’s a great way to speed up development.

  5. Brainstorm with AI Before You Build

    1. Tools like ChatGPT or your preferred AI assistant can help you plan, map out, or think through your Zap before you start building it in Zapier.

  6. Review Zap History Regularly

    1. Your Zap Run History is your best friend. Check it periodically for failed or held Zaps. You can open each run to see detailed inputs and outputs at every step - a great way to understand what actually happened.

  7. Use Action Step Logs for Troubleshooting

    1. Review Action Logs for failed steps. Both Novi AMS and other connected apps often include error messages that explain why a Zap failed. Issues may stem from incompatible or duplicate data, invalid field formats, or unexpected time zone values - not always from Zapier itself.

  8. Reuse Historic Runs as Test Data

    1. Zapier lets you use any previous run as test data when editing or troubleshooting a Zap. This saves time and helps you test real-world conditions.

  9. Experiment with Zapier Agents

    1. Zapier Agents can automate tasks more dynamically than traditional Zaps. While normal Zaps follow a fixed sequence of steps, Agents make context-based decisions according to your instructions - like virtual assistants that adapt to different situations.

  10. Leverage “Human in the Loop” for AI Steps

    1. Zapier now includes a Human in the Loop feature for AI-driven actions. This allows you (or another person) to review AI outputs before the Zap continues execution - a great safeguard for accuracy and control.

  11. Stay Consistent and Keep Practicing

    1. Building Zaps is a skill, and like any skill, it fades if unused. If you go weeks or months between Zap projects, you may find yourself re-learning what you’ve forgotten. Keep a running list of automation ideas and check your Zaps regularly to stay sharp and efficient.

  • What plan do most people use?

    → Most use the Pro plan ($20–$75/mo). You can set task limits to stay within budget.

  • Can I use Zapier for marketing?

    → Yes! Aika shared how her team uses Airtable + Placid + Loomly to auto-create & schedule posts.

  • What if I’m overwhelmed or new?

    → Start with internal Zaps. Use filters to limit runs. Ask ChatGPT to help you troubleshoot logic.

  • GOAL OF OUR ZAPS: Our Zaps automate recurring admin tasks to streamline workflows, eliminate manual work/tasks, and reclaim minutes for higher-impact work.

  1. Update Speaker Profile (Headshot & Bio)

    1. Sends speakers a personalized email asking them to update their profile directly in Novi (headshot + bio), including a Demographic Google Form. When the form is submitted, their Novi profile is updated automatically.

  2. Heads of School / Leadership Changes

    1. When our leadership-changes spreadsheet is updated, this Zap creates a task in Novi and emails the assigned ADVIS team member so our database stays current.

  1. DPHA University Enrollment

    1. Automatically grants LMS access when a DPHA University product is purchased. This Zap finds the enrolled member (not the purchaser), updates custom fields with enrollment details, and adds the member to a group that controls BlueSky LMS access for one year.

  2. PerkPoints for Engagement

    1. Adds PerkPoints to a member’s activity timeline based on engagement actions like Jotform submissions or booth purchases. In one case, booth sales from Map D (via QuickBooks) trigger activity creation in Novi to award points automatically.

  3. Conference Ribbon Assignment

    1. Assigns conference ribbons using groups and custom fields instead of manual review. When someone registers, a set of ribbon-specific Zaps runs to check group membership and update the attendee’s ribbon field, supporting multiple ribbon types per person.

  1. Using AI to obtain updated member contact info

    1. As part of our renewal process, we have a number of orgs that miss their renewal emails due to bounced emails. Monthly, our membership manager pulls a report of orgs who missed their renewal date and puts them into a Google Sheet, where AI then goes and searches to see if the primary contact we have listed is current. If a new contact is found, the membership manager has the option to use the new contact or stay with the current one, and individual outreach emails are drafted in Outlook. This one is currently on pause as we plan to make a Census push this fall, but will likely use in conjunction with it based on our response percentage on the Census.

  2. Tracking Leads

    1. For our 9-month cohort program, we receive a lot of inquiries from folks who are interested in the program or that we believe should be targeted for outreach when the next round of applications open. I set up an email address with Zapier so that we can forward inquiries/leads to it, then ChatGPT extracts relevant information, and an activity is created in Novi (or a record + activity if needed) so that come recruitment time, we can easily follow up with leads.

  3. Tracking External Member Benefits

    1. A simple Zap that takes new entries on a Google Sheet (where we track usage of programs we offer member discounts on) and creates member activities in Novi. This was the type of Zap that got us using Zapier – wanting a way to easily make Novi a single source of truth.

  4. Automating Event Registration Tracking

    1. For some of our more intensive events, we set up Zaps to trigger when new Novi event registrations come in and add them to a Google Sheet, where further information (such as Google Form responses) are also automated in and matched up with the registrations. Saves a lot of time moving information around!
