Sales Tax

Understand the options available in Novi's tax center so that you can properly apply sales tax to your transactions.

Overview

The Sales Tax Center brings all of Novi’s tax settings into one place, making them easier to manage and ensuring consistency. It helps prevent common issues, like having taxable products without a default tax rate.

Before You Begin

The Sales Tax Center connects directly to your QuickBooks Online account, so your setup there affects what you can do in Novi.

Before you start, confirm the following in QuickBooks:

  • Sales tax is enabled

  • If you plan to use Automated Sales Tax (AST), it is already enabled

Once AST is enabled in QuickBooks, it cannot be disabled. If your QuickBooks account uses AST, your Novi setup should match it.


How to Enable Sales Tax in Novi

Sales tax in Novi is enabled by a toggle at the top of the Tax Center. This setting determines whether tax appears anywhere in the platform, including products, event tickets, and Ecommerce checkout.

When the toggle is turned off, all tax-related functionality is hidden. Tax fields are removed and users will not see any mention of tax. If your organization prefers to manage taxes only in QuickBooks, you can leave this toggle off.

Note: When toggling off sales tax, your existing tax settings are not deleted. If products were previously marked as taxable, those settings are saved and will apply again if you turn sales tax back on.


Choosing a Tax Method

After enabling sales tax, you will choose how tax should be calculated. This depends on your QuickBooks configuration.

Automated Sales Tax (AST)

Automated Sales Tax (AST) is a QuickBooks feature that automatically calculates sales tax based on location and current tax rules. This is the best option if you need sales tax to vary by location.

Within Novi, this option is available only if AST is enabled in QuickBooks.

With AST, tax is calculated based on the purchaser’s location. Checkout shows an estimated tax amount, and the final amount is calculated in QuickBooks after the transaction is submitted.

Classic Sales Tax

Classic Sales Tax is a fixed-rate approach to sales tax. Instead of calculating tax based on location, it applies the same rate to all taxable items.

This option works well if your organization charges a single, consistent tax rate to all purchasers and does not require location-based calculations. In this option, you set the rate directly in the Tax Center.

Note: If Automated Sales Tax (AST) is enabled in QuickBooks but you select Classic Sales Tax in Novi, you will see a warning. This creates a mismatch between how tax is calculated in Novi and how it is handled in QuickBooks, so these settings should typically be aligned.


Choosing the Right Setup

In most cases:

  • If you do not need to charge tax in Novi, leave sales tax turned off

  • If you want one flat rate for all purchasers, use Classic Sales Tax

  • If you need tax based on location, use Automated Sales Tax


Completing Your Setup

Before saving your settings, you must fill in the required fields:

  • Tax rate or estimated tax rate

  • Default tax exemption status

You will not be able to save until both are completed.


Changes from QuickBooks

If sales tax is enabled in QuickBooks after your Novi account is already set up, Novi should detect the change and turn on the sales tax toggle.

You will still need to finish the setup in Novi. A notification will appear prompting you to review your settings.

To complete setup:

  1. Open the Tax Center

  2. Select a tax method

  3. Fill in the required fields

If you do not want to use sales tax in Novi, you can turn it off again.


Accessing QuickBooks from Novi

The Tax Center includes a direct link to your QuickBooks Sales Tax Center so you can review or update your settings there.

You must be logged in to QuickBooks for the link to work.

Your organization is responsible for selecting and applying the appropriate sales tax settings in accordance with your legal obligations. Incorrect configuration may result in penalties or fines from government agencies. Novi can provide guidance on how tax settings work within the platform, but we do not offer legal or accounting advice.

FAQs

Can I turn off tax if I only use it occasionally?
Yes. You can disable sales tax in Novi and manage it in QuickBooks. Your settings will still be there if you turn it back on.

Can I switch between tax methods?
Yes, but if AST is enabled in QuickBooks, it cannot be turned off there. Choosing Classic in that case will trigger a warning.

Will I lose my settings if I disable tax?
No. All tax settings are preserved and restored if you enable tax again.

Who can access the Tax Center?
Full admins.
