What is the Upcoming Renewals Report?

The Upcoming Renewals Report helps you forecast projected dues renewal income without having to export data into Excel. It provides an at-a-glance look at which members are coming up for renewal, the estimated dues they’ll owe, and projected totals by member type and date range.

The estimates are based on your current dues rules in Member Types. They do not account for new members joining or members choosing not to renew. Instead, the projections give you a best-guess forecast using retention rates that you can set for each member type.

How the Report Works

Automatic Updates

  • The report recalculates automatically once per night.

Manual Recalculation

  • If you update your dues rules and want projections refreshed sooner, click Recalculate Estimates. Manual recalculation is limited to once every 24 hours. You’ll receive a notification in the Alert Center and an email once the recalculation is complete.

Date Range & Calculations

  • Summary Tab: Shows renewals from the 1st of the upcoming month (or today, if it’s the 1st) through one year out. This view applies your estimated retention rates to project totals.

  • Details Tab: Displays all potential renewals and assumes everyone will renew. We can't estimate which members might be retained when calculating your estimated retention rate while displaying the details of each member so this view uses simple multiplication without factoring in estimated retention rates.

  • To keep performance fast, both tabs will only display renewals through the next 12 months.

Renewal Types (Calendar vs Anniversary)

  • Calendar Renewals: Only one month will appear in the Summary tab, since all members renew at the same time.

  • Anniversary Renewals: Renewals are spread across months, so the Summary tab will display any months with renewals.

Settings Tab

Before you begin using the report, take a moment to configure the Settings tab. This is where you can set the Estimated Dues Retention and Estimated Optional Dues Participation, by Member Type. These percentages will drive the estimates shown in the Summary tab and in the totals in the boxes at the top of the report.

In other words, you’re telling the system how realistic you want your projections to be, based on your past experience with member renewals.

For each Member Type, you can set two key assumptions:

  • Estimated Dues Retention % – The percentage of members you expect to renew. For example, if you know around 90% of a certain member type typically renews, enter 90%. The system will then apply that rate to the projected dues for that group.

  • Estimated Optional Dues Participation % – The percentage of optional dues you expect to be collected (e.g., sponsorships, add-ons, or voluntary contributions). If only about half of your members typically pay their optional dues, you might enter 50% here.

These values don’t change member records or actual invoices. They’re simply used for forecasting. Adjusting them lets you build more accurate revenue projections that reflect your association’s real-world experience, rather than assuming every member pays in full.

Once you save your settings, they’ll be applied to the Summary tab and Total projections going forward.


Summary Tab

The Summary Tab shows an overview of projected dues grouped by month, with the option to also group by member type.

The Totals (at the top of the page) highlight your projected totals at a glance based on the assumptions you've configured in the Settings tab.

  • Estimated Dues: Displays mandatory dues x retention % (ex: 90% of $20,209.77).

  • Estimated Optional Dues: Displays optional dues x retention %.

    • This is hidden if you aren't using optional dues.

  • Both amounts update dynamically when date filters are changed.

List View Columns

  • Month (and Member Type if grouping is selected)

  • Estimated Members Renewing

    • This number is calculated based on your Estimated Dues Retention Rate in the Settings tab.

  • Estimated Dues

  • Estimated Optional Dues

  • Estimated Total Dues

  • Action

    • Allows you to jump to the Details tab for that month and Member Type, if using Member Type groupings

Available Filters

  • Member Type(s)

  • Report Period (date range)

  • Term Start Date From / To

    • Reminder: This can only extend as far as 12 months

  • Auto Renew Enabled (Yes or No)

Retention rates compound across multiple terms if your filter covers more than one renewal cycle. For example, a 90% retention rate applied over two terms calculates as 90% of 90%.


Details Tab

The Details Tab drills down into each member’s projected dues.

List View Columns:

  • Name

    • Additional member fields are available under the gear icon

  • Term Start

  • Projected Dues

  • Projected Optional Dues

  • Total Dues

📌 Note: Retention estimates from your settings apply only in the Summary tab (driven by the Settings tab). They are not used in the Details tab. We can't estimate which members might be retained when calculating your estimated retention rate while displaying the details of each member so this view uses simple multiplication without factoring in estimated retention rates.

Important Notes

  • The report offers estimates only. The figures are forecasts, not exact amounts.

  • The report is strictly a projection tool and does not change member records or trigger actual renewals.

  • You can further customize the Details list view by adding columns from the gear icon at the top right of the list view.

  • Both Summary and Detail views can be exported using the Excel icon at the top right.
