Editing or Updating Event Registration Details as an Admin

Learn how to update or transfer an attendee on an event registration, including TBD attendees and guest registrations as an Admin.

Is an attendee asking if they can switch the name on their event registration to a co-worker? Has a member registered a "TBD" attendee and now needs to add the name? Is a registration missing an attendee name because the field wasn't required and now needs to be linked to a record?

These types of changes can be made on the backend by an admin.

πŸ’‘ Tip: Admins can enable members to edit or update their event registration details directly from the Member Compass after completing the initial registration. See Editing or Updating Event Registration Details in the Member Compass

Admin Initiated Changes (Backend)

1. Go to the Event on the backend, then to the Attendees tab.

2. Find the registration and click the Edit link (on the right side). This will open the "Edit Attendee" modal.

3. Click in the Attendee Name field and delete the existing name (if one exists).

4. Start typing the new attendee name until the drop-down options are displayed.

5. Select the new attendee from the dropdown list.

πŸ“Œ Important Note: When updating a guest registration to link it to a record – where the name is likely the same – make sure to select the correct name from the dropdown rather than typing it without selecting.. Check this after saving the update by looking in the Name column (on the Attendees tab) to see if it's being displayed as a blue hyperlink. 6. Update the remaining attendee fields as needed.

7. Click Save & Close.

8. After changing the attendee, send a confirmation email to the new attendee. See Manual Event Confirmation Email for steps.


πŸ“Œ Important Notes

  • Changes to the Attendee fields do not impact the Billable Party or line item description on the corresponding transaction. If the registration has an open invoice, changing the Attendee Name(s) in the line item description and/or the Billable Party is done by opening the invoice in QuickBooks Online and altering it there. This can not be done on a Sales Receipt.

  • If the registration is relinked, the private link does not change – it is linked to the registration. That means the new attendee can use the old attendee's confirmation email with the unique link. If sending a manual confirmation email to the attendee, it will include the same unique link.
