Tracking Paid Renewals in Novi

Pull a report of paid membership renewals by filtering the Transactions list view or Item Sales Detail Report

There are two main methods for pulling reports of paid membership renewals in Novi.


Track Paid Renewals with the Transactions List

On the Transactions List (Accounting > Transactions), click into the Filter and set the following:

  • Filter to a transaction type of Dues Invoice (Renewal) to see renewal invoices that were generated by Novi.

  • To view only those that have been paid, filter to a transaction status of Paid/Closed.

  • Additional filters can limit results to specific member types, transaction date ranges, or payment date ranges.

πŸ”· Novi list views have several additional columns available to expand the viewable data for each transaction. These display columns can be found under the gear icon at the top right of the list.

After all columns and filters are added, export the list to Excel for more options.

Important Note About Renewals and the Transactions List Method

This view will give an approximation of revenue for membership, but may not match the information in QuickBooks Online.

Reasons the revenue may not match exactly:

  • New member joins that pay immediately will have a sales receipt, not an invoice

  • Member types set to Member-Initiated instead of Auto-Renew may also generate a sales receipt instead of an invoice

  • Members billed in QuickBooks Online rather than Novi will be labeled as a QuickBooks Invoice not a Dues Invoice (Renewal)


Track Paid Renewals with the Item Sales Detail Report

On the Item Sales Detail Report (Reporting > Item Sales), filter to the specific item(s) in QuickBooks Online that relate to membership renewal dues.

Report Period:

  • The selected report period will automatically update the Transaction Date From and Transaction Date To dates in the filter.

  • These can also be updated to a custom range.

Member Type(s):

  • Remember to select the necessary items in the filter first. Then select specific member type(s) if desired.

  • Note: Filtering to one member type and selecting the QuickBooks Online item for another member type will return no results.

Final Payment Date:

  • Leaving the final payment date filter blank will include unpaid sales in the results.

  • To only include paid renewals in the report, add dates to the Final Payment Date From and Final Payment Date To filters.

Important Note about Renewals and the Item Sales Report Method

This view will give a closer approximation of revenue for membership renewals in Novi, but still may not match QuickBooks Online.

Reasons the revenue may not match exactly:

  • If all dues rules are set to the same QuickBooks item, more manual work may be necessary to determine a new join vs. a renewal


QuickBooks Online is the Source of Financial Truth

Novi gives a window into QuickBooks Online, but does not replace QuickBooks Online as the source of financial truth. For the most accurate financial reports, we recommend QuickBooks Online's reporting.
