Available Columns in List Views & Exports

Overview of all available fields that can be added as display columns when viewing and exporting lists on the backend of Novi AMS.

When logged into a Novi AMS website, association admins have access to the backend database where there are numerous lists, including areas such as members, ecommerce orders, events, and many more areas.

Every list on the backend will have the following at the top right of the list:

  1. a gear icon with available display columns and number of rows displayed per page

  2. export icons for .pdf and .csv files

This makes it easy to quickly pull in data points whether to view directly in Novi or if needed to download as a report.


Customize columns on backend lists

List View > The gear icon throughout the backend of Novi allows admins to display (or not display) columns related to that list's information. The available columns under the gear icon are grouped in sections that are collapsed by default. Clicking on a section will expand it and present a list of fields that can be checked to show or unchecked to hide from the list view.

You will also see an option to increase the number of available rows per page.

Note: These display options will be sticky for an Association Admin's view (not anyone else's) and in a specific browser and device (not across browsers or other devices used). If needed, columns can be reset to the default Novi list view.

List Export > If you then choose to export the list you will have the option of downloading the data using the icons next to the gear:

  • PDF (printer icon) - clicking on this will download a file with only the visible columns

  • CSV (Excel icon) - clicking on this will display two options:

    • All Fields

    • Visible Fields Only


In the sections below, we'll take a closer look at the different areas of the backend that have additional display columns available under the gear icon.

The available display columns (under the gear icon) on the Members List are:

  • Member Data

  • Contact Information

    • Billing Address

    • Shipping Address

    • County/Parish

    • Do Not Send Marketing Emails (if true: Yes, if not true: empty)

    • Top-Level Parent (this is the record that's "highest" in the family tree - the one with no parent)

    • Management Access - A Yes/No field only for individuals who have been designated as having management access to a company

  • Member Custom Fields - These fields are unique to each Novi site and can be added to this list of available columns by adjusting the custom field visibility settings.

    • To add custom fields to this list: On the backend, go to Fields > Custom Fields > open the field's settings modal > scroll down to the Visibility section and check the box for "Member List View (Admin)"

  • Activities & Engagement - Dates listed are for the record itself. For example, company records cannot have CEUs or events.

Member Record People List

In addition to all of the available columns in the Members List, the People tab on member records includes the following under the gear icon:

  • Member Data - This section has one extra display column that can be shown or hidden:

    • Type (indicates if the record is a person with a user account or a person without a user account)

Member Record Sub Companies List

In addition to all of the available columns in the Members List, the Sub Companies tab on member records includes the following under the gear icon:

  • Member Data - This section has one extra display column that can be shown or hidden:

    • Type (indicates that these records are companies)

Recent Signups List

In addition to all of the available columns in the Members List, when viewing your Recent Signups list there will be several more display columns available under the Signup Details section of the gear icon. This section includes the following fields:

  • Signup Details

    • Contact

    • Signup Date

    • Transaction

    • Payment Status

    • Approved

Group Members List

In addition to all of the available display columns in the main Members List, each Group in Novi has a section for Group Details under the gear icon. In this section, the following fields are available:

  • Group Details

    • Type (indicates if the record is a company, a person with a user account, or a person without a user account)

    • Group Member Status (Primary Group Member or Beneficiary)

Transactions List

In addition to all of the available columns listed in the Members List, the Transactions list also includes the following available columns under the gear icon:

  • Transaction Details

    • Date

    • Transaction Type

    • Revenue Type

    • No.

    • Due Date

    • Balance

    • Total

    • Status

    • Last Sent Date

    • Payment Dates (includes all dates when payments were applied)

    • Final Payment Date (the date when an invoice or sales receipt became "Paid")

    • Related Event

    • Related Products

    • Order Number

    • Auto-Pay Status

    • Auto-Pay Date

  • System

    • QuickBooks API - Transaction ID

    • QuickBooks API - Customer ID

    • API Unique ID - Member

Orders List

In addition to all of the fields listed above in the Members List section, the Orders list in the Ecommerce section also has the following display columns available under the gear icon:

  • Order Details

    • Order Type

    • Billable Party

    • Deliver To

    • Date

    • Total (total transaction amount, which may include additional items that are not part of the ecommerce order, like event tickets or membership dues)

    • Order Status

    • Payment Status (paid or unpaid, plus additional information about the transaction)

    • Gross Revenue (this is the total pre-discount)

    • Discount (any discount applied)

    • Net Revenue (total less discount; the actual amount paid)

    • Related Event

    • Related Products

  • System

    • API Unique ID - Order

    • API Unique ID - Purchaser

Subscriptions List

In addition to all of the available columns listed in the Members List, the Subscriptions list includes the following available columns under the gear icon:

Membership Engagement Report

In addition to all of the available columns listed in the Members List, the Membership Engagement Report includes the following available columns under the gear icon:

  • Member Data - This section has one extra display column that can be shown or hidden:

    • Type (indicates if the record is a company, a person with a user account, or a person without a user account)

  • Activities & Engagement - This section has additional activities. Roll-ups include member records and their immediate children.

    • Roll-up: Last Event Date

    • Roll-up: Last Event Name

    • Roll-up: Last Product Order Date

    • Roll-up: Last Product Order #

Membership Add Report

In addition to all of the available columns listed in the Members List, the Membership Add Report includes the following additional display columns under the gear icon:

  • Member Data - This section has one extra display column that can be shown or hidden:

    • Type (indicates if the record is a company, a person with a user account, or a person without a user account)

Membership Drop Report

In addition to all of the available columns listed in the Members List, the Membership Drop Report includes the following additional display columns under the gear icon:

  • Member Data - This section has one extra display column that can be shown or hidden:

    • Type (indicates if the record is a company, a person with a user account, or a person without a user account)

Activity Timeline Report

In addition to all of the available columns in the Members List, the Activity Timeline Report also has a section for Activity Details under the gear icon. In this section, the following fields are available:

  • Activity Details

    • Contact Person

    • Activity Type

    • Subject

    • Notes

    • Assigned To

    • Task Complete

    • Event Attended

    • Old Membership Status

    • Old Membership Sub Status

    • New Membership Status

    • New Membership Sub Status

    • CEU

Set of Options Report

The Set of Options Report has all of the same display columns available as the Members List.

Events List

The available columns under the gear icon for the Events List are:

  • Details

    • Type (this is the Event Category)

    • Internal Notes

    • # of Registrants (number of people registered, not including cancellations)

    • # Attended (number of people marked as attended)

    • Active (displays whether the event is active on the frontend)

    • Has Tickets (column displays on export only)

  • Budget

    • Revenue

    • $ Budgeted

    • $ Variance

  • System

    • Frontend URL

    • Novi Registration URL

    • Details Override URL

    • Registration Override URL

    • Online Link URL

    • API Unique ID - Event

Attendees List

In addition to all of the available display columns listed in the Members List, the Attendees List on each Event includes the following additional fields under the gear icon:

  • Member Data - This section has one extra display column that can be shown or hidden:

    • Type (indicates if the attendee is a person with a user account or a person without a user account)

  • Attendee Details

    • Registration #

    • Attended

    • Full Name

    • First Name

    • Last Name

    • Company

    • Promo Codes

    • QR Code URL

    • Status

    • Gross Revenue

    • Discount

    • Net Revenue

    • Ticket Type

  • Event Custom Fields - These fields are unique to each Novi site and can be added to this list of available columns by adjusting the custom field visibility settings.

    • To add custom fields to this list: On the backend, go to Fields > Custom Fields > open the field's settings modal > scroll down to the Visibility section and check the box for "Events"

  • Purchaser - These fields are populated by the purchaser of the ticket, which can differ from the event attendee.

Member Types List

The available display columns under the gear icon for the Member Types List include:

  • Details

    • Color (this color is associated with the member type on the Member List Stage)

    • # of Customers (total number of records in member type regardless of member status)

    • Frontend Registration (displays whether the member type is available to join from the frontend)

  • System

    • API Unique ID - Member Type
