Bulk Register Attendees for Events as an Admin

Attendees can be registered in bulk from Novi Groups, Committees, Family Trees or from one event to another.

Bulk event registrations are a useful tool to quickly register persons for events, whether it be from a Novi Group, Committee, Family Tree or existing event.

First and foremost when beginning a bulk event registration in a Group, Committee, Family Tree or event, select who should be bulk registered. If choosing the first white checkbox, everyone in that specific Group, Committee, Family Tree or event will be selected.

When selecting all, be sure to de-select anyone who should not be registered before continuing.


Bulk Register from a Novi Group

First select all or specific group members to be registered for the event. Using the Batch Actions button, select New Event Registration.


Bulk Register from a Committee

First select all or specific committee members to be registered for the event. Using the Batch Actions button, select New Event Registration.


Bulk Register from a Family Tree

First select all individuals or specific individual records to be registered for the event (note: only people can be registered for an event). Using the Batch Actions button, select New Event Registration.


Bulk Register Attendees from an Existing Event for Different Event

First select all or specific event attendees to be registered for the event. Using the Batch Actions button, select New Event Registration.


Bulk Registration Event Information Modal

Once the New Event Registration batch action is selected, a modal will open to locate the event and details for registration:

  1. Records Selected

    1. This indicates how many records were selected to be registered from the Group, Committee, Family Tree or event.

  2. Event

    1. Locate the existing event that records will be registered for from the dropdown.

  3. Ticket

    1. Select the ticket to register attendees for. Note: Only one ticket can be selected at a time when doing bulk registrations. Tickets with multiple seats cannot be selected.

  4. Price Per Ticket

    1. This is an overview of the ticket price, which is set in the event itself.

  5. Ticket Details

    1. This is an overview of the ticket description, which is set in the event itself.

  6. Bulk Event Registration Toggles

    1. Send Confirmation Emails

      • If toggled to ON, an event confirmation email will be sent to the attendees.

      • If toggled to OFF, no event confirmation email will be sent. Event confirmation emails can be manually sent when needed.

    2. Charge for Registration

      • When charging attendees in bulk registrations, attendees will be invoiced.

      • If toggled to ON, attendees will be charged for the selected event ticket.

      • If toggled to OFF, attendees will not be charged for the selected event ticket and no financial transaction will be logged alongside the registration.

    3. One Invoice Per Billable Party

      • Billable Party is defined in Association Settings under the QuickBooks tab.

      • If toggled to ON, attendees who are under the same parent will have a single invoice created that lists the multiple attendees.

      • If toggled to OFF, attendees will be invoiced separately.

Once the event and ticket information is filled in, admins can click the Create Registrations button to proceed.


Bulk Event Alert Before Completing Registrations

Once the event information has been selected for bulk registration and is submitted by clicking the Create Registrations button, an alert will appear to confirm the information is accurate. The alert includes:

  • the number of records to be registered for the selected event

  • event name

  • event date

  • selected ticket type

The alert also confirms that any record which is already registered for the selected event and ticket will be skipped.

To proceed, click Yes. To go back to the bulk event registration modal, click No.

Bulk Event Registration Completion

After selecting Yes in the Bulk Event Alert (listed above), the system will proceed to create event registrations in bulk. Once completed, a message will be displayed for review that will include event registration information and any records that were skipped during bulk registrations.


Important Notes on Bulk Event Registrations:

  • Frontend requirements are not enforced on ticket selection since this is an admin-only action.

  • Required fields on tickets are not enforced during bulk event registrations.

  • Bulk event registration cannot be used on tickets that have multiple seats.

  • Tiered ticket pricing is calculated per Billable Party.

  • If the selected event ticket is a donation ticket, registration will use the suggested donation amount as the ticket price.
