⭐ Novi Happenings

💰 Novi Pay Update - Live in Beta!

Novi Pay is now live with our initial group of beta testers! Through this testing, combined with insightful conversations with bookkeepers, we uncovered some nuanced scenarios that helped us further expand on the Novi Pay experience.

While we're still a couple of weeks away from a full release to all customers, this extra time spent has allowed us to build even more features and enhancements, providing the bonus that the first version you see will be more robust than we originally planned!

Currently, we’re watching full payment lifecycles complete with our beta testers' live payments to ensure everything is in tip-top shape.

Also, keep an eye out! If you’ve already begun or completed your application, you’ll notice a new Novi Pay section in your sidebar (kudos to those of you who've noticed and asked about it!).

For those of you who have been approved, you can start configuring your Novi Pay settings. This is one less step you'll need to do when it comes time to roll out Novi Pay.

Sit tight and stay tuned! When Novi Pay is ready to go live, we’ll contact you with everything you need to get started.


🩺 Member Health™ Early Beta is Underway

Our new Member Health™ feature has launched in a small beta with an early select group of seven diverse associations! Through this group, we gained immediate, valuable insights that are helping refine the model and identify unique scenarios to improve its functionality. These early findings will ensure a smoother, smarter experience as we prepare to expand to the full beta group. Stay tuned, exciting updates are on the way!


🚗 Novi Road Show is Back for 2025!

After the success of last year’s sessions, we’re hitting the road again with more in-person trainings designed for new users and those needing a refresher.

Each half-day session covers the basics - membership, events, groups, directories, reporting, and more. While geared toward beginners, all are welcome! Just bring your laptop and questions - we’ll provide the rest.

📣 Call for Roundtable Volunteer Co-Hosts

We're working on adding customer roundtables to our calendar for the rest of the year, but we need your help!

Roundtables are an opportunity for you to connect peer-to-peer and share ideas and best practices. In order to host a specific topic, we need a couple of customers to volunteer to co-host the topic and be willing to share their experience.

You don't have to be an expert on the topic, but just willing to share what you've done, lessons learned, and best practice recommendations! Tentative topics include Zapier, Member Onboarding, Novi Census, and Small Staff Non-Dues Revenue.

🤓 Smart Invoices for All Invoices.. Not Just Renewals!

If you’ve used Novi’s Smart Renewal Invoices, you know they make it easy to send renewal invoices with a direct payment link right to the Member Compass. Now, we’re taking it a step further - Smart Invoices are available for all invoice types!

Instead of sending via QuickBooks, these invoices are now sent from your Novi site and tracked in your Transactional Email Log.

Smart Invoices Sent by Default

Smart Invoices are now the default option when sending any open invoice. For non-renewal invoices, the email body will automatically pull in your default QuickBooks message, which you can still customize in the "send email" modal (for individual sends).

Easily Find the “Direct Link” to the Smart Invoice

In the send invoice email modal, you’ll now see a “Direct Link” field containing the smart invoice URL, along with a copy button for easy access. You’ll also find this link in the Transactions list for each invoice, so it’s always easy to grab.


⚡Faster Group Updates with Lightning Lane

We've improved the speed and reliability of group updates by introducing a new priority queue, called the "Lightning Lane" for certain actions that trigger group calculations.

Some actions are now recognized as high-priority and are processed faster to make sure your group information updates quickly and accurately, including Product Purchases, Member Registration, Account Creation, Membership Renewals, and Event Registration. These actions are bumped to the top of the "queue" for group calculations, providing faster, more reliable syncs.


📁 File Upload Fields Now Supported in Member Directory Profiles

We previously introduced file upload custom fields with visibility limited to specific related members and admins. Now, we’re expanding their flexibility! Choose to display file upload fields on directory profiles, making them available for download to those who can view the directory.

More Details:

If a file field is added to a public member directory, the file will be publicly downloadable right from the member’s profile. This is ideal for sharing non-sensitive materials like resumes, certifications, brochures, or other public-facing documents.

For non-public directories, file downloads will be limited to users who have access to the directory, as well as the uploader, their company managers (if applicable), and admins.

(All existing privacy rules still apply for files not included in a directory, ensuring sensitive information stays protected.)


📅 Choose Which Membership Date is Used For Display

Give a clearer picture of member history at a glance! You now have more control over which membership date is shown in the Member Compass and Member Directory, ensuring the "Member Since" label reflects the timeline that matters most to your organization and members.

You can now choose how a member's "Member Since" info is displayed with a new Association Setting that allows you to choose from:

  • Member Since (Default): Uses the start date of the current membership term

  • Original Join Date: Show off long-term loyalty!

  • Do Not Display Publicly: Keep it private, if preferred


🏦 ACH Payment Updates

ACH Transactions Now Recorded as Invoices + Payments


Previously, ACH charges happening at the time of purchase were recorded as sales receipts. Since ACH transactions can take several days to process, we’ll now create an invoice and a separate payment to more accurately reflect the process.

This change also sets the stage for future Novi Pay enhancements, allowing us to track ACH status (pending, succeeded, or failed) and update accounting and messaging accordingly.

Important Notes:

The invoice will include the same field values used on the sales receipt. The due date will always be set to today, regardless of standard payment terms. This will not affect pre-existing sales receipts.

Secure Member-Initiated ACH Payments

Additionally, as part of ongoing security enhancements and PCI best practices, ACH payments must now be initiated by the member while logged-in, ensuring a more secure and compliant experience.


Stripe ACH

For those using Stripe, ACH is now available! Previously, this was restricted to QuickBooks Payments. Stripe ACH requires the user to add their bank account as a saved payment method in their Member Compass, then confirm that account with two small deposit transactions. Then, they can begin using ACH at checkout!


Social Media Meta Tag Settings

We've expanded our SEO settings to give you more control over how content appears when shared on social media platforms like Facebook, X (Twitter), and LinkedIn. Now, your shared links will be more accurate, visual, and easier to manage.

For pages with SEO settings - including blogs, directories, events, and more - you can now set platform-specific titles, descriptions, and featured images. This ensures the right preview shows up when links are shared. For X specifically, we've also included support for Card Types.


Important Note:

When you share a link on social media, platforms like LinkedIn, Facebook, and X (Twitter) cache (store) the preview data, such as the title, image, and description, to load it faster next time. If you update your website’s meta tags after sharing the link, the changes might not appear right away because the old preview is still cached. Each platform has tools to clear or refresh this cached data manually. Check out the article below to learn!


⭐ Other New & Noteworthy:

📝 Professional Bio / Organization Overview options added to Census

  • Two new field options are now available as Census fields! Professional Bio for a "people" census, and Organization Overview for a "company" census.

📈 New min and max for NPS re-survey group members setting

  • For those using NPS, the "After initial survey response, re-survey group members every X day(s)" setting now has a minimum cadence of 90 days, and a maximum of 365. Following best practices, this helps prevent your members from being re-surveyed too soon, and not more than a year later.

🤝 New! Parent status conditions added to member type dues

  • We've introduced two new conditions for dues rules: "Parent Membership Status" and "Has a Parent." These allow dues to be calculated based on a member’s parent's status - for example, offering a discounted dues rate to individual members whose company is already a current member.

    Note: These changes do not affect membership dependencies - only the dues calculation.

📍Member Status filter addition in the Address Cleanup tool

  • Did you know that Novi has an Address Cleanup tool? It's true! Previously, the tool listed all records. We've now added a member status filter, allowing you to tailor the results in the list.

🍞 Small, but mighty: custom reports breadcrumb link

  • You'll now notice a quick link back to your main reports list for simpler navigation:

☎️ Small, but mighty: phone number extension increase

  • For those larger organizations with longer phone numbers, we've increased the phone number extension limit to 7 digits!

    Thanks to those who added this to the Summit ’25 Feature Wall!

💳 Smarter payment links: view vs. edit

  • To avoid confusion around which payments can be edited, payment links on the Transaction List and Customer Transaction List will now display “View” instead of “Edit” for payments that are not editable (i.e., already deposited or processed). This makes it easier to know at a glance which payments can be modified and which are view-only.

💰 Separate items and classes for multi-year initial term dues

  • If your renewals run on a calendar cycle, with multi-year initial term and "charge for both years" enabled:

    Meaning, when a member joins late in the year, you charge them upfront for both the current year and the following year... You can now track separate items and classes for each year's dues on each dues rule, making it easier to distinguish between Year 1 and Year 2+ amounts in QuickBooks.

📊 Member engagement report multi-select member type & status filters

  • You asked - we listened! The Member Type and Member Status filters on the Engagement Report are now multi-select. Easily filter and analyze data across multiple member types or statuses in a single report.

🖥️ Smarter browser tabs: backend page names now in browser tab title!

  • Navigating across multiple tabs just got easier! Admin browser tabs now follow a clearer, more helpful format:

    {Record Name} - {Page Type} - Novi AMS Admin

    Now, when you're editing a record, you’ll see it right in your browser tab - no more guessing when you have 100 tabs open! (Who does that anyway? Surely not us. 😉)

🏢 Easier parent selection when records have similar names

  • We’ve made it simpler to find and assign a record to the correct parent company! When selecting a Parent Member on the Member Detail page, you'll now see the company name followed by its parent company name when applicable - no more guessing which is correct if you have members with similar or the same names.

🏷️ Filter inactive items on the Item Sales Report > Item Mapping

  • You'll now notice a new filter on the Item Sales report, allowing you to filter out inactive items for easier and more efficient mapping.
